This notice explains how Songshan Kung Fu Executive Academy collects, uses and protects your personal information, and your child's, under the Protection of Personal Information Act 4 of 2013 (POPIA).

 

1. Who we are

2. What we collect

Name, contact details and date of birth; for children, a parent or guardian's name and contact details; emergency contact details; any medical conditions or injuries you tell us about so we can train you safely; class attendance, grading records and payment history; messages you send us; photos and videos, only with your separate permission; and basic website usage information collected through cookies.

 

3. Why we use it

To enrol you or your child and run classes, gradings and events; to train safely and act in an emergency; to manage bookings, fees and reminders; to keep the records the law requires; and, only if you agree, to send you class news, events and offers by WhatsApp or email. You can opt out of marketing messages at any time by replying STOP.

 

4. Children's information

We collect a child's information only with the consent of a parent or guardian, who can see, correct or withdraw it at any time. We never use a child's photo or video publicly without separate written permission from a parent or guardian, which can be withdrawn at any time.

 

5. Health information

Medical conditions and injuries are special personal information. We use them only to keep you or your child safe in class, with your consent, and share them only with emergency services if needed.

 

6. Who we share it with

Only where needed: our booking, website and payment providers, who must keep it confidential; emergency services in an emergency; or where the law requires it. We never sell or rent your personal information.

 

7. How we protect it

Records are kept in access-restricted, password-protected systems. If we suspect your information has been accessed without authority, we will tell you and the Information Regulator as POPIA requires.

 

8. How long we keep it

While you or your child train with us, and afterwards only for as long as the law requires, after which it is securely destroyed.

 

9. Your rights

You may ask to see the information we hold about you or your child, ask us to correct or delete it, object to how we use it, and withdraw consent you have given. Email info@songshanedenvale.com. We may need to confirm your identity first.
